Dinner and pie served at 6:30PM

Cost: Pay Here (http://twtex.com/forums/Dec_Pie_Run.htm)

A block of 10 rooms (minimum required) are reserved under William Zimmerman/Two Wheeled Texans at a discounted rate. This rate will be set on Monday (21 Nov), but it will be less than $89 for the night. Reservations need to made on your own and before 19 Dec. If at least the 10 rooms are not booked by the cutoff date, this event cannot happen. If we have more than the 10, they have room.

What: This will be THE TWT event! We will be ringing in the new year and celebrating 12 successful Pie Runs.
The catering will be BBQ:
2 meats (brisket/sausage), 3 veggies, bread, pickles, peppers, onions, tea, and sauce. They have a selection of 9 different pies! The cost covers your dinner and the pie of your choice from those available! Reservations for the dinner need to made here and paid to Tourmeister before the 19 December cutoff date. We will need to know how many adults and children will be attending, so please list that in your post. Please also list your preference for pie from this list:

Pumpkin
Millionaire Pie


I will mark each person as PAID as Scott confirms the payment. We will have several folks bringing some of the best motorcycling movies for our viewing pleasure. There will also be an area for kid's movies. For those that may not want to watch the motorcycle movies :scratch: bring whatever game (cards, etc) instead. We will also celebrate the New Year at midnight. We plan to cage it down to CS, so please come in your cages or bikes!

The caterer needs a $100 deposit to lock in the date, so the quicker we get the initial funds, the quicker we can lock down their services. The hotel is providing the meeting rooms for free with the 10 room bookings. Please note if you plan to stay in the hotel in your post.

Alcohol: BYOB. You are welcome to bring your own alcohol, dunkenness and rowdiness will not be tolerated!

NEED:
1. We need someone artistic to put together a Powerpoint on DVD that is a collection of pictures from each of the Pie Runs from the year. This will be shown at the event! When we have the victim, I mean, volunteer we will start a thread for submissions. UPDATE: AustinTrophy is handling this here (http://www.twtex.com/forums/showthread.php?t=6368)

2. The hotel does not have a DVD player, so we will need to bring 2 (one for the adults and one for the kids) and the necessary cables to hook them up.

However, for those that pay using PayPal, there is also the issue of the transaction fee. So the final price for them will be a little higher.

These are the PayPal prices and include the fee and tax.

Single Adult will be $11.50
Two Adults will be $22.60

One kid will be $7.30
Two kids will be $14.25
Three kids will be $21.25

For those paying by checks: $11 for each adult and $6.75 for each kid.

Ok, since I can't go on this ride because I will be busy trying to figure out which end of a diaper goes on which side of the baby, I'll volunteer to put the presentation together. At least I'll be there in spirit that way :)

Couple of tech questions....

Does the Hotel provide a projector WITH a laptop for the P-Point or just a projector. Is their screen attached to a wall or is it a portable job? Also do they provide sound for the movies? Is it part of the room system or is it localized so that two movies can be played at once, without disturbing each other.

I want to come to this, I just need to find out if I'm working or not. I could provide a DVD player and a laptop with a DVD drive that would serve as the second DVD player and P-Point machine. I could also *possibly provide some sound reinforcement for the movies. I have a couple of speaker projects laying around that would suffice. Along with amps and mixers and all sorts of freaky sound equipment....

I am saying we are a strong maybe for 2 adults and 2 kids (3 and 5 y/o) no room. Pie choice forthcoming....

Do you want me to start the thread, or will you do it and make it sticky with your Mod powers? :shock: I'd like to get started on this ASAP. I've downloaded as many pictures as I could find in threads related to pie runs, but There are many runs left unaccounted for.

I know. The person that is in charge of all this leaves at 3PM (M-F), and because I'm at work I keep missing her. I will call her during the day tomorrow and get your questions as well as the previous A/V questions answered and report back here.

One more thing to note: I put the wrong address for the hotel on the initial posting. If you called the 979-846-8700 number to make your reservation, then you have made it at the CORRECT location. ONLY THE ADDRESS was wrong. If you googled their number based on the address, you'll need to move that reservation. Sorry-my mistake. :oops:

I spoke with the front desk about the number of rooms reserved. With my reservation, they are showing only 2 rooms reserved under the original block of 10. If you have already made your reservation, please call them and verify that it is under the Two Wheeled Texans group so we get credit for the number. If you have not made your reservation, please do so soon.

:tab I would like to have some kind of alternate plan if this falls through because we don't book enough rooms. We have a big screen TV but not enough room for everyone to spend the night ;-) There are several hotels within a mile or so of us. We can handle 15-20 people in the house without too much trouble. So if all else fails, perhaps we can party at our place. I have room for maybe six or seven bikes in the garage. No cover charge, just donations for grub and drinks.

OK-spoke with Diedra this morning:

1. Even if we don't get to the 10 rooms, we'll get the meeting rooms free anyway.
2. Our cutoff date has been extended to 19 Dec 2005
3. She only shows 4 rooms as booked under the TWT name currently
4. If we would like to use a projector to do a Powerpoint presentation, they have one available.

So, that still leaves us with a minimum of 25 folks for the caterer, and we're getting close on that now, too.

I'm in. Just PP'd Scott. No room for us, we live about 3 miles away. I can bring a DVD player and a Powerbook that could run the powerpoint or double as the 2nd DVD player. Let me know if I need anything else. Also what about sound, find anything out about that? I can get almost anything we need as far as sound and video goes. Need another projector?

OK! We're a GO for liftoff! I have locked in the caterer for the event by paying the deposit and given them the list of pies we'll need. We have met the 10 room minimum for the hotel (although they were not going to hold us to that). We're all set.

There's still time to get in on this, but I will have to put a deadline of 27 Dec 2005 for a final headcount.

Getting down there should be easy enough with rain gear if needed. The rest of the night will be spent in the warm & cozy hotel so it shouldn't be an issue.

We plan on bringing our DVD player and some kids movies, too. HiSPL is going by the hotel to evaluate what we'll need for a proper setup, so I'll defer to him on the necessary equipment.

Squeaky-they have an outdoor pool, so if you're into the Polar Bear club you're welcome to go swimming!

OK, it seems like we will need everything for the adults. The "projector" that they had was an overhead projector for transparencies. Doesn't really work for video! I will take care of everything for the adult entertainment. Video, sound, and laptop. The kids will have a 32" inch TV and VCR for their corner. If someone brings kids movies on DVD, then we will need a DVD player for that.

So it seems that all we need are 1 DVD player, and the movies! I'll take care of the rest...

Thanks for doing this!

Will we need some RCA cables to hook up the DVD's, etc?

You might look into eVite (http://www.evite.com)(www.evite.com) for next time. I've used it for a couple parties and it works quite well, though I'm not sure if you can set something up without having to create a guestlist and email invitations via their site.

:tab Temple is a good bit out of the way for getting to College Station from DFW isn't it? :scratch: I would hit Hwy 6 from Waco and run into BCS, just watch for LEO! Or, I would just shoot down I-45 to Madisonville and pick up Tx 21/US 190 West to BCS. Now if you are riding down...

I hope to try some FMs down to around Waco and hook into I35 near there. Besides, I would like to watch the Zims get themselves & 2 kids on the bikes. Now the first page Says "WC" and "Blazing Mama +2 kids". I really want to see this - putting both kids on the Zuk with Jen! :shock:

Yeah, I am planning on riding down if the weather holds up - got someone to cover my SS class so I can play hookey on Sunday & sleep late, too... ;-)

OK. I have given the final headcount to the caterer and we're ready to go. If you have not paid please do so soon since we'll be paying the caterer at the event from those funds.

My wonderful wife put forth an idea the other night: We're probably going to need sweet and salty snacks for the post dinner/pre New Year countdown time. If you can, please bring something: chips, salsa, candy, etc. This would be a great way to clear all of that extra Christmas food out from your house!

Also for a final review-who's bringing a DVD player?We're going to need 2 (one for the adults and one for the kids) and any necessary hookups to the TV's. HiSPL: can you give some info on anything we might need to supplement what you're setting up?

I was actually wondering what everyone was going to be wearing - t-shirts and jeans like all other pie runs, something a little nicer since it's dinner, or something comfy like jammies since we'll be up all night and lounging?

Personally I like the jammies idea. Like a big grown-up pajama party. :-P

Since I personally believe the national fabric should be denim, the Zimmerman family will be in jeans and t-shirts. I never considered this to be a formal affair-just comfortable.

Just got back from the Keller - Tennessee - Waco Christmas marathon.:sleep: :coffee: :sleep:

I have another DVD player available to me, so all I need is movies for the grown-ups and the kiddos. Bring whatever movies that you might think are appropriate for a bunch of moto-nuts or just cool stuff to watch. (Dust 2 Glory would be, like AWESOME!). The kids can watch DVD or VHS video. The grown-ups will only have DVD.

So to recap, I am bringing EVERYTHING for video, powerpoint, kids video, and sound. No need for anybody to bring anything but the actual movies and P-point.

I will probably be there pretty early tomorrow (2 o'clockish) to start setting stuff up, so if anybody gets there early, drop in and say hi!

Austintrophy dropped off the DVD this evening and we previewed it, all I can say is he did a great job on it :clap:

It actually runs on a DVD player, so it could play on a loop with a player on the computer while we are off watching D2G or LWR or Faster or .......

If you're still here-I can give you a fun route that will avoid Valley Mills and take you all the way down to 36 which takes you into Temple by another direction:

From Hico (you know how to get there), take 281 to 219 (toward Cranfills Gap). 219 to 182. 182 will dump you onto 36 (go east to Temple). 219 and 182 is one of my favorite road combo's. From 36, go over I-35 in Temple and turn left at 3rd street (downtown). Turn right at French (at the Shell station) and left on 1st.
